Contract Fields

The top of the window displays the Vendor, Client, Edition and Zone keyed on the Prompt window. Media assigns a number the first time you save a contract; until then, NEW displays in the Contract Number field. There are some differences between Interactive and Traditional Print buying contracts. Read the Days field description.

Indicate whether this contract is active or not. Defaults to Active.

To discontinue using this contract without deleting it, select Suspended from the drop down list.

Click this check box to display a check if you want this contract to be marked Revised on the Contract Analysis Report.

Select the beginning date for this contract.

Select the end date for this contract.

If this rate only applies to retail buys, click the check box to display a check. The Retail column on the buy line must be R for this contract to apply.

If this rate only applies to classified buys, click to check. The estimate must be defined as Classified in Estimate Definition for this rate to apply.

Displays the media code defined for this vendor in Common Vendor.

Displays Yes or No to indicate whether comments have been entered for this contract.

To enter comments for a contract, see Entering Contract Comments.

Use this check box to the left of a row to select that row for entering comments or to delete the row. To select the row, click this check box to display a check.

Use this check box to control which rate detail row is currently to be used in Print or Interactive.

Checked. Use these settings to calculate rates and contributions in Print or Interactive.

Unchecked. This rate is not currently available for use in Print or Interactive.

If this rate only applies to a specific edition, key the Edition code defined in Vendor Editions Definition. This must match the Edition on the buy for this contract to apply.

If this rate only applies to buys for a specific zone, key the zone code as defined in Common Vendor.

This must match the Zone on the buy for this contract to apply.

Key the volume level on the rate card or the level that was negotiated for this rate. The level relates to the type of Units you indicate in the next field.

Key the contract type to which this rate applies. Used in conjunction with the Level field to define the volume of print activity expected during the contract period.

Blank. Number of insertions. Select this if the Level you keyed refers to the number of insertions.

D. Dollar volume. Select this if the Level refers to dollar amount of activity.

I. Inches. Select this if the level refers to inches.

L. Lines. Select this if the level refers to lines.

P. Pages. Select this if the Level refers to the number of pages.

U. Issues. Select this if the Level refers to the number of issues.

If you negotiated an open rate (Qualifier is NO or GO), key the percent by which the Insertion Rate on the buy should be reduced to calculate the contract rate.

You must key the full rate on the buy (Net if the qualifier on the contract is NO or Gross is the qualifier on the contract is GO). Then the rate you keyed on the buy is reduced by this percentage when you retrieve rates.

Select the rate qualifier. For Gross (blank) or Net, this qualifies the amount keyed in the Rate field. For an open rate, the Insertion Rate keyed on the buy is reduced by the percentage keyed in the Pct field.

Blank. Gross. The amount keyed in the Rate field on this contract is the gross Insertion Rate.

GO. Gross open rate. The Insertion Rate must be entered at Gross on the buy. When you retrieve rates the Insertion Rate is reduced by the percentage in the Pct field on this contract.

N. Net. The amount keyed in the Rate field on this contract is the net Insertion Rate.

NO. Net open rate. The Insertion Rate must be entered at Net on the buy. When you retrieve rates the Insertion Rate is reduced by the percentage in the Pct field on this contract.

Key the insertion rate for this contract at net or gross, depending on the Qualifier selected.

Leave blank if an open rate Qualifier is selected.

Gross defaults in to the field. Other possible selections are:

Total Gross

Total Net

Total Cost

Free – Used for Free buys along with other buys at a contract rate. Not affected by Automatic Rate Change.

Gross CPM – Gross Cost per Thousand

Net CPM – Net Cost per Thousand – previously arranged

Net

Other – Not affected by Automatic Rate Change.

Special Net – Previously arranged Net rate with vendor.

Tax – Contract only for the tax on this contract. Not affected by Automatic Rate Change.

Fee Only – Used for a fee contract, no units.

Zero -

Look up or key the unit qualifier, defined in Unit Code Definition, to which this contract applies. There are many codes available from the dropdown. This must match the Unit column on the buy line.

Leave this field blank and key a Space Code in the next column.

If the RUQ field is blank, key the Space Code, defined in Space Description Definition, for this contract. This code must match the Space Code on the buy line for this rate to apply.

Leave blank if you keyed a unit in the RUQ field.

Select the date when this rate becomes effective. This date must be within the contract's Start and End Dates specified at the top of the detail window.

Traditional Print Buying – Leave all the days check boxes unchecked if this rate is monthly and not specific to a particular day.

If weekly, click all the days. Otherwise, for daily, click the check box for each day to which this rate applies.

Interactive Buying – Click ALL days of the week, because it runs daily.

Click the H check box if this rate applies to holidays. When H is selected here, this rate applies to buys that have Yes in the Holiday column in the Buy Module.
