Billing Selection

When you click the Next icon next.gif on the Live/Draft Bills Prompt window, this window displays activity collected for billing. The name in the banner indicates the type of bills you are requesting (Combination, Detail or Summary) and whether you are requesting Live or Draft bills. Only activity that was collected for billing and meets the criteria you entered on the Prompt window is included in the display. You may need to scroll down to see all the activity.

To continue the billing selection process:

Live/Draft Bills Selection Window

  1. Select the line item(s) for which you want to generate live billing by clicking the check box. To select all the activity, click the Select All icon check.gif. You may then deselect any individual item by clicking the check box to remove the check; you may remove from selected activity by clicking the Remove icon remove.gif. Held activity displays but may not be billed.

  2. To remove line item(s) see Cancelling a Billing Request.

  3. Click the <Fields> button at the bottom of this help page for more information on each field.

  4. The Prior Formula Exists column indicates whether the activity has been previously billed with a different billing formula. If so, you have the option to use the prior formula and to specify the columns to print. Refer to Prior Columns for more information.

  5. If you select PDF as a Billing Output on the Prompt Window, a Next icon display on the blue icon bar. Click the Next icon to create bills and associated reports.

  6. If you selected Output to Printer for laser bill forms as the Billing Output on the Prompt Window, a Submit button displays on the blue icon bar. Key the laser billing Output Queue in the Report Formatting Options section of the window then click <Submit>. This process creates bills and associated reports.

  7. The Client Activity Report and Invoice Register are generated and placed on hold. The Released Bills Report (if any bills were released) prints automatically. Refer to Work with Spool Files instructions on releasing held reports.

Period Billing — If you created each buyline with a Start and End Date, then these are automatically calculated in the Buy Module for period billing in equal amounts, over the defined period. The bills print these start and end dates in the first field of sequential detail line for Space Description and the Quantity.

Additional Information — Location information, Space Descriptor, and Material Type information entered in the Buy Module will print on live/draft bills. This information needs to be retrieved from the Location database into the Buy Module in order to print. Space description also prints instead of Space Code. If you used CPM rate qualifier, the Buy Rate will print on the bill.
