Report Formatting Options

Each report on the browser menu includes Report Formatting Options that enable you to control how the report is output. All the settings for each report, including the formatting options, are retained until you log out of the Media option.

Not all these report formatting steps apply to every report. Some fields may be display only for a particular report. For more information, see Work with Spooled Files.

To submit the report request:

  1. Accept the default or key a different Output queue. See the Note below.

  2. To hold the report until you release it to print, click the Hold check box to display a check.

  3. To save the report in the outqueue after it is printed, click the Save check box to display a check.

  4. Key comments, if any, to print on the Banner Page and/or key comments to print at the bottom of Every Page.

  5. To print more than one copy, key the number of copies.

  6. Accept the Default Output Priority or select a different priority from the drop down list. (1=highest priority)

  7. Accept the Form Type or key the code for the form to use in printing the report.

  8. To compress the print on the report so it will fit on narrower paper, click the Compress Print check box to display a check.

  9. To process the report overnight, click the Overnight Process check box to display a check.

  10. Accept the default of today for the Start Date. This field is not currently used.

  11. Choose one of the following to determine how the report is to be output:

Process in Batch. Click this radio button if you are printing insertion orders on paper.

FAX Outbound. Click this radio button to place the order in the fax outqueue for faxing to the vendor. Once the fax is placed in the fax outqueue, it must be released by the same user in AdVault® PRINT FAX Menu. Refer to the documentation for that option for more information. Note that when you request multiple insertion orders at one time, orders going to the same fax number will be in one spool file.

E-Mail Output. Click this radio button to create a separate spool file for each vendor/rep so that the order/report may be E-mailed. The order/report displays the e-mail contact name and address for the Traffic rep, if any, or else the e-mail contact name and address defined for the vendor. See Work with Spooled Files for instructions on creating a PDF of the spool file and e-mailing it to the vendor.

  1. If you choose to fax or e-mail the order, click the Proof Copy check box to print a proof copy.

  2. Click <Submit>.

  3. A message displays to confirm your request was submitted.

  4. To request the report again with different settings, change your selections and click <Submit> again.

Note: The output queue you key the first time you request a report from the any Media browser menu becomes your default output queue. This default displays in the Report Formatting Options the first time you request any other report. However, if you change the output queue for a report, that output queue displays the next time you request that same report
