Client Activity Report Profiles

Many features of the Client Activity Report are controlled by the profiles created in Profile Definition. Use the Profiles Inquiry option to view information from the Profiles Definition Database. All fields that you would find at each profile level are available for viewing. You may override the profile selections for any single report request, but the default profile settings defined in the Profile are not affected. However, you may save the changed profile settings along with other settings as a named Preference.

Note: Due to space limitations on the printed report, some information may be omitted in certain situations. Four options on this window plus the Match Date and Ad Group settings on the main request window determine which columns print on the report. If you select Invoice for the Match Date, an invoice date column always prints. Ad Number and/or Ad Caption are next in priority, then the Date Columns. The $ Columns are last in priority and are eliminated, when necessary, starting with the leftmost column. Also, if Buy Rate At is set to Both and you opt to show both the Estimated Rate and the Estimated Quantity, then Premium amount and description may be omitted from the report.

Select individual Profile Settings? Only displays if you select a Client Group or All Clients. Regardless of whether this box is checked, any changes you make on this screen are used for all clients.

Checked. Uses each client's individual profile settings in printing the report. Unchecked. Uses the profile at the company/office level.

Report only billed vendors. Checked. Limits the report to vendors that have been billed. Unchecked. Includes all vendors.

Buy Rate At. Indicate how the actual and estimated buy rates should print on the report.

Both. Show buy rate at both gross and net.

Gross. Show the gross buy rate.

Net. Show the net buy rate.

$ Columns to Print. Choose up to four amount columns to print on the report using the codes listed in $ Columns to Print. The columns print in the order specified. For example, to print columns for Gross dollars, Gross less Cash Discount, Cash Discount and Net dollars, in that order, key 1362. (See Note above). You may space through any of the four places to request a blank column instead of data in that column position.

$ Columns on Summary. Select up to four columns to print on the summary report using the codes listed in $ Columns to Print. These may be the same or different from the columns chosen for the detail pages, and there is room for all four columns, regardless of other settings. You may space through any of the four places to request a blank column instead of data in that column position.

Date Columns. The Insertion Date is always shown on the report. For non-newspaper reports, you may specify additional date columns. However, these may reduce the $ Columns that print. Select the date columns from the drop down list.

Contract Info. Controls whether contract information prints on the Detail Report.

Checked. Print contract information for each insertion.  Includes contract number, dates and rate levels. To print comments defined for this report in Contract Definition, you must also select Yes or Zone from the New Page per Vendor drop down list. See also New Page per Vendor field description below.

Unchecked. No contract information prints on the detail report.

Ad Number Controls whether the ad number prints for each insertion.

Checked. Print the ad number for each insertion. Note the difference between this field and the Ad Number field on the main request window. That field limits the report to activity for the specified ad number, while this field controls whether ad numbers print in the body of the report.

Unchecked. No ad information prints.

Ad Caption If Ad Number is checked, you may also request the ad caption to print. It prints in the same Ad Number column on the report.

Checked. Caption prints for each insertion.

Unchecked. Caption does not print for each insertion.

Circulation Info Determines whether circulation information prints on the report.

Checked. Prints circulation information keyed in Vendor Definition for each vendor. Includes circulation and rate base circulation. If available, additional circulation information such as circulation effective dates and source used for circulation may also print.

Unchecked. No circulation information prints.

New Page per Vendor Determines whether there should be a page break for each new vendor.

Yes. Begins a new page for a change in vendor code, with subtotals for each vendor.

No. Next vendor prints on the present page, but there are subtotals for each vendor.

Zone. Begins a new page for a change in vendor, zone, or edition. It also subtotals for each vendor, zone, or edition, and includes an overall vendor subtotal.

Calendar Year Quarterly Subtotals Click the check box to display a check to print quarterly subtotals on the Client Summary pages. Quarterly subtotals do not print on the detail pages.

Cost to Client Click the check box to display a check to print cost to client information on the Cover Page. If Combine Estimates is selected, only one cover page prints since all estimates are combined.

Reset Summary Page Determines whether the summary pages at the end of the detail portion of the report should be numbered sequentially, beginning with page 1 or should continue the number sequence from the detail portion.

Checked. Resets the numbering of summary pages back to page 1.

Unchecked. Summary pages at the end of the detail report continue the sequential numbering begun in the Detail portion.

Report Actual Billable Click the check box to display a check to print the actual billable amount in the Actual Billable column.

Subtotal by Market? Click the check box to display a check to print subtotals by market.

Sort Markets? Select the order in which markets should print on the report.

Alphabetical. Markets print in alphabetical order by market name.

Code. Markets print in ascending order by code.

State. Markets print in alphabetical order by state, then by city.

Print Estimated Rate. When checked, prints both the actual Insertion Rate and the Estimated Insertion Rate, if any, from the buy worksheet on the report. If Both is selected from the Buy Rate At drop down list, both Gross and Net are shown for both the actual and estimated insertion rates.

Print Estimated Quantity. When checked, prints both the actual Unit Quantity and the Original Quantity from the buy worksheet on the report.

Report Summary Selections

By default, the Estimate Insertion Month, Estimate Bill Month, and Vendor Summary are selected. Select or deselect a summary by keying clicking the check box to display or remove the check. You may omit all summaries or print any combination of summaries. To omit the detail report, click the Print Summaries Only check box to display a check and select at least one summary.

Any summaries other than the default summaries print as a separate file. This file is listed separately in your output queue. To print the additional summaries, you must release this additional file as well as the Client Activity Report. Since proposed buys have no estimate bill month activity, you may not request the Estimate Bill Month Summary if there are no active buys meeting the selection criteria.
