After you identify the affidavit on the Affidavit Entry/Match prompt window and click the Next icon, the detail window displays an Entry Row for entering spot detail from the affidavit. For an existing affidavit that has been partially or completely matched, the <Unmatch> button displays. See Unmatching Affidavits for instructions on unmatching an affidavit. For an existing affidavit with no matched spots, the Delete icon displays. See Deleting an Affidavit.
Once spots are entered you may sort them by any of the entry fields by clicking the column heading. For instance, to sort by spot cost, click the Cost column label. See Sorting Data in a Table.
To enter affidavit detail:
To change the order in which any entry column displays, click and drag the column heading.
Key the information for the first spot on the affidavit in the Entry Row. Click the <Fields> button at the bottom of this help page for more information on each field on this window.
Press <Enter> to create a new row with the spot information. The Entry Row retains what was keyed as a default for the next spot.
Key over any information in the Entry Row which is different for the next spot on the affidavit, then press <Enter> again to create a row for that spot. Repeat this step until all spots have been entered.
To change a single value on a specific spot, click that cell and key the new value. To make the same change to multiple spots at once, see Making Mass Changes to Affidavit Spots.
To delete one or more individual unmatched spots, select the spots to be deleted and click the Remove icon . See Selecting and Deselecting Items.
If there is a tax amount on the affidavit, key it in the Tax Amount field at the top of the window.
If you did not key a total on the prompt window, key it in the Affidavit Total field.
If you do not want to save the detail, click the Prompt icon to return to the prompt without saving.
Click <Match> to save the affidavit detail and begin the matching process.
Any errors are highlighted in red and must be corrected before the affidavit can be saved and matched.
If the tax amount differs between the buy and the affidavit, the Tax Match Screen displays. See Matching Taxes on Affidavits.
If all spots and tax amounts on the affidavit match the buy, the Successful Matching window displays. See Successful Affidavit Match for instructions.
If the tax matches but spot matching is unsuccessful, the Unsuccessful Match window displays. See Unsuccessful Affidavit Match for instructions.
Note: Matched spots display a check in the M column. Spots that have been forced to match display a check in the F column.
