Collect for EDI Transmission

The Collect for EDI Transmission option is used to collect invoices from the PRODUCTION and if applicable the Media Systems. Each field is edited to make sure information has been set up in the EDI Database (Central Database Option 301, KBKS Number Definition, and Option 302, Internal Order Number Definition) and that invoices exist in the Sales Register history file. After information is keyed without any errors, invoices that fit the specified criteria are added to the collection file. An EDI Audit Trail Report is produced and lists information that has been collected. If invoices are already in the collection file or already in the history file, they will print on the report with an error message stating why it was not added to the current collection.
  1. Select Sales Ledger|EDI Transmissions|Collect for EDI Transmission.

  1. Key the EDI Company, EDI Office, and EDI Group as set up in the EDI Database. The EDI Group code identifies information from the Production System that has been grouped and consists of combinations of client, product, system, and media codes.

  2. Key the Client code to identify the client to which invoices will be transmitted.

  3. Key the billing month/year in MMCCYY format for which you want to collect invoices.

  4. In the From Invoice Number field, key the invoice number from which you want to start transmitting invoices.

  5. In the To Invoice Number field, key the invoice number to which you want to end transmitting invoices.

  6. Click the Next icon next.gif to display the Printing Selection Window where you start the collection and view/print the EDI Audit Trail Report.

  7. If any of the collected records contain errors and should not be transmitted, they can be removed by Mediaplex System staff then recollected, if applicable.
