Printing Selections Window

This window displays when you select certain options from the menu or when you click the Next icon next.gif on a report request window. The settings default to those used for the last report request. To change settings, click the Reset icon reset.gif then select new settings.

To print the report:

  1. Accept the defaults or key a different Number of copies and Output queue.

  2. To hold the report until you release it to print, click the Hold check box to display a check.

  3. To save the report in the outqueue after it is printed, click the Save check box to display a check.

  4. If the Output to Web Browser check box is checked, click it to remove the check.

  5. Click the Next icon to submit the report request. The message: "Job has been submitted. Please select another menu option to continue working" displays.

  6. A window displays the settings you selected. The report will be sent to the specified outqueue.

  7. To return to the Printing Selections window, click the Back icon back.gif.

Or

To display the report on your screen instead of printing it:

  1. Click the Output to the Web Browser check box to display a check.

  2. Click the Next icon to submit the report request.

  3. The report displays on your screen. You may then print the report by clicking the Print icon print.gif to display the Print window.

Note: If the report is wide, change the printer orientation by clicking <Properties> on the Print window, then selecting Landscape.

  1. Some reports/inquiries have a <Copy Report to Text File> button. To export the report to a text file, click <Copy Report to Text File>. Accept the default then click <OK>. Save your file with a new file name and a .spool extension. You may now import this file into Excel, Word, etc.

  2. Also, some reports/inquiries have a <Export to Spreadsheet> button. Refer to Exporting Information to a Spreadsheet.

  3. To return to the Printing Selections window, click the Back icon.

Or

To convert to a Portable Document Format (PDF): (This format preserves the original appearance of the report and allows it to be viewed or printed on any system.) PDF reports of up to 1,200 pages may be produced. Please be aware if you have a lower end PC or Mac, you could run into a memory error when a large report is generated in PDF format. If this occurs, you can send the report directly to the printer or upgrade you computer.

  1. Click PDF Output check box to display a check.

  2. Click the Next icon to submit the report request.

  3.  Launches Adobe® Acrobat® and displays report in a PDF file.

Note: When selecting the PDF format, you will notice that an e-mail icon has been added to the top of the PDF window. Click the e-mail icon to display a window where you key e-mail addresses and any additional e-mail text. If you do not know the email address, click <Employee>, <Client>, and <Vendor> to display a list of codes, the description of each code, and the applicable email address. Make selections then click <Submit>. When you click <Send E-mail>, the contents of the PDF are sent in an attachment to the keyed email address. Click the "Notify When Receiver Opens This Mail" checkbox to have a message sent to you when the recipient opens the email.

  1. To return to the option, click the Back icon back.gif.
