Importing Files to Excel

The <Copy Report to Text File> button is used to create the file that can be imported to Excel. This button displays on many reports/inquiries that are output to the web browser as well as spool file reports.

  1. See View Spool File steps 1 through 6 or Copy Report to Text File for steps to create the file that can be imported. Once the file is created, continue with Step 2.

  2. Open Excel.

  3. From the File menu, select Open. Go to the folder in which you saved your Spool file. Double click the applicable file to display the Text Import Wizard Window (Page 1 of 3).

  4. Click Fixed Width to fill the radio button. To prevent Banner and Header information from displaying, look at the Preview box which contains the report. Scroll down past Banner and Header information. To the left you will see a number representing the line on which you are located. In the Start Import at Row field, select this number using the up arrow. All lines of information above your selection will be eliminated from the file.

  5. Click the Next icon to display the Text Import Wizard Window (Page 2 of 3).

  6. A ruler displays above the Preview box and is used to create columns. Use the scroll bar to find headings for which you want to create a column of information. Click the ruler at the increment where you want each column of information to start and stop. A ruled line displays each time you click the ruler. If you make a mistake, just drag the ruled line out of the box.

  7. When finished setting up your columns, click Next to display the Text Import Wizard Window (Page 3 or 3).

  8. In the Column Data Format area, click General to fill the radio button then click <Finish> to display the report in the Excel format. Information that displays in each column may still need some adjustments. Adjust information then save your Excel file.
