Entertainment Analysis

This window allows you to record information to support the business reasons for an expense. Based on how the expense category was defined in Expense Category Definition, an entertainment analysis may be required.

  1. To display the Entertainment Analysis window, click the Entertainment Notes icon fork.gif on the Trip Segment Detail window in Expense Entry.

  1. If you will be out of town for more than one day, click the Add icon add.gif until the number of rows equal the number of days out of town. To add multiple entry fields (up to five) at one time for a specific date, click the check box under the Double Plus Sign. From the Number drop-down list counter.gif, select the applicable number from the list, then click the Add Attendee icon expand.gif.

  2. For the date of the activity, accept the default Date for the Trip Segment, or select from the drop-down list of dates within the trip segment date range. Dates must be selected for each date of activity. If you do not change the date for each row, all amounts entered will be totaled and displayed on the Trip Segment Detail grid for the displayed date only.

  3. For tax reporting purposes, key all relevant information. Otherwise, key any one or more of the remaining fields:

  1. For any additional activities for this expense category and trip segment, repeat the previous two steps.

  2. Click <Save> to save your selections and close the window, or click <Cancel> to close the window without saving changes. All amounts keyed on the Entertainment Analysis Window will override amounts displayed on the Trip Segment Detail Window.

To delete a row:

  1. Click the Delete box to the right of the row(s) to be deleted.

  2. Click the Remove icon remove.gif.
