To prevent small rounding differences between billed and paid amounts from appearing on the Billings vs. Payments Report indefinitely, a write-off procedure is available. Use Maintain Adjustment Profiles in the AdVault® CENTRAL DATABASE to establish profiles by system and owning company/office which specify an adjustment limit and the General Ledger account to which adjustments should be posted. Once the profiles are defined, sign on as the corporate company/office and follow the steps below to collect items with a balance that is within the adjustment limit. Then use Maintain Payable Adjustments in the CENTRAL DATABASE to view these items and select items for adjustment. Refer to the CENTRAL DATABASE documentation for these options.
Sign on to PRINT as the corporate office and select Billings vs. Payments from the Reports menu.
Leave the Include All Co/Of? and Collect Media Adjustments? check boxes checked.
Leave the All Media and All Clients check boxes checked.
Accept the default for the Ending Date or key another date through which you are collecting adjustments.
Click <Submit>.
Access Maintain Payable Adjustments in the CENTRAL DATABASE. Refer to the documentation for that option.
Select the items to be adjusted.
The next time you request the Billings vs. Payments Report, the items selected for adjustment will no longer appear on the report.
