Co/Off Assignments and Financials

The Co/Off Assignments and Financials Tab contains two sections. The Company Office Assignments section, which allows you to choose Company and Office settings and the Financials section, which allows you to define the details of the financials. The fields and settings that appear in the Financials section will vary depending on the Financials system that you are using.

Keep in mind that not all settings are allowed at every level of the profile hierarchy. The Profile Options Chart summarizes the settings which can be configured on the Billing Profile Definition tabs and the levels at which they can be changed.

Company Office Assignments Section

The Billing Company and Billing Office fields are automatically filled in based on the codes you entered when you logged in to MediaBank A|V. However, you can key or Lookup other Company and Office codes for the company and office responsible for billing. Settings may be overridden at the client level.

The Disbursing Company and Disbursing Office fields are automatically filled in based on the codes you entered when you logged in to MediaBank A|V. However, you can key or Lookup other Company and Office codes for the company and office responsible for paying client activity. Settings at the company/office level may be overridden at the client level.

Financials Section

If the disbursing and owning company/offices differ, key the account through which their transactions are to clear on the field. These account numbers must exist in the General Ledger account file for the owning and disbursing company/office.

Only displays if applicable to the Financials system you are using. May be edited only at the Company/Office Profile level. Key the account number, up to two digits, for the Clearing Subaccount.

Billings and media transactions to issue or void checks or to record cash receipts from stations go through the payables account for the client's owning company/office. Payables account numbers must exist in the General Ledger account file for the owning company/office. All company/office profiles must have a payables account number. Individual clients can have payables account overrides.

Only displays if applicable to the Financials system you are using. May be edited at the Company/Office or Client Profile level. Key the account number, up to two digits, for the Payables Subaccount.

Depending on the Financials system you are using, key the cash account or bank code defined for the disbursing company/office keyed above. This setting controls the cash account used for media transactions to issue or void checks. The cash account must exist in the General Ledger account file for the disbursing company/office. Individual clients can have cash account/bank code overrides.

The original disbursing company/office, clearing account, payables account, and/or bank code/cash account must all match prior to any changes being made for the hierarchial change rule to take effect.

Displays the check form defined in Cash Account Control or in the Central Data Base Bank Account Code Definition depending on the financial system you are using.

Client level only. Use this check box to indicate whether to exclude the client from the regular payment cycle.

Selected: Remove a client requiring special handling from general check requests.

Cleared: Include the client in the regular disbursing company/office payment cycle for cleared activity.
