Billing Control and Billing Formula

You'll use the Billing Control and Billing Formula tab to make or change settings that are used to configure the billing at the level you are working with. There are two sections on the Billing Control and Billing Formula tab: Billing Control and Billing Formula.

Keep in mind that not all settings are allowed at every level of the profile hierarchy. The Profile Options Chart summarizes the settings which can be set on the Billing Profile Definition tabs and the levels at which they can be changed.

Billing Control Section

Use the Bill Ordered drop down menu to choose the type of activity to bill and formats of invoices are controlled by this setting.

Use the drop down menu to select a date, ranging from 1 to 31, to print as the client invoice date. For months having fewer days than the day specified, an error message displays at the time of live billing prompting you to change the bill date day.

Leave blank for 100% or key figure(s) with two decimal places for the percentage of ordered dollars to bill in an activity month when using Bill Ordered settings of Ordered, Adjust To Clearances, or Percentage. This field does not apply when billing spots on clearances

Key the number of days to elapse from invoice date before client payment is due. Default is 10 days.

This field only applies to a Bill Ordered setting of Adjust To Clearances or Percentage, in which case it must be completed. Key the number of months, up to a maximum of nine, after an activity month to start adjustment billing based on clearances.

Example: A client with Bill Ordered set at Adjust To Clearances and Adjustment Months set at 2 will be billed on order for the January activity month in January and February with adjustments made on clearances in March.

Key a valid code to indicate where client is to send payment. This code determines the Remittance Instruction block that appears at the end of client invoices.

This code must be defined in the Central Data Base Remittance Code Definition.

Key a one-digit number here to indicate the number of months in advance to bill clients with long payment cycles. To enter a negative number, key a single-digit number followed by the keyboard hyphen.

Example: If setting is 1, March activity may be billed in February.

Use the Taxable check box to determine whether the client can be charged tax. This setting can vary at the product level.

Selected: Client can be charged tax.

Blank: Client cannot be charged tax.

Optional. Allows entry of a dollar amount after which a client may require certain sign-off procedures on disbursements. Up to four digits may be entered indicating the cut-off point on Total Amount Due.

Example: An entry of 50 here indicates client has a sign-off procedure for amounts of $50,000 or more. A Preliminary Billing Analysis showing billable of $53,400 will display a warning to alert you that billing has exceeded the client's sign-off amount. In this case, you may not want to release all the invoices for the current billing.

Client level only. Where state media taxes are charged, estimated taxes may be entered on the buy. Use the Bill On-Order Taxes check box to indicate whether these estimated taxes should be included on on-order bills.

Selected: Include amount of latest estimated taxes for on-order billings.

Blank: Do not bill estimated taxes. Only bill cleared taxes even if Bill Ordered setting is Ordered.

Billing Formula Section

Use the three fields after Base to control how the amount due is calculated for a bill: base plus (minus) the percent of the Of column. Note that the client's billable cost shown on reports is not reported by individual buy line. The bill formula is applied to total amounts.

Use the first drop down menu to determine whether to use the Gross or Net column as base for the amount due calculation.
Leave second field blank to bill only the base amount, or key up to three figures and two decimal places for the percentage to be used in the amount due calculation. To enter a negative number, key the number followed by the keyboard hyphen.
If you key a percentage, use the other drop down menu to indicate whether to use Gross or Net in the amount due calculation. These amounts do not include the Free of Commission cost qualifier buys or tax amounts.
